Refund Policy
1. Purpose
This Policy sets out when RMIT may provide a refund, credit or transfer for fees paid to participate in RMIT Active programs, events and activities. It is intended to support fair, consistent and transparent decision-making.
2. Scope
This Policy applies to refunds requested for RMIT Active programs, events and activities, including representative sport and wellbeing programs. It does not apply to tuition fees, student services and amenities fees, or other fees governed by a separate RMIT policy or procedure. If the applicant is seeking a refund related to RMIT Clubs programs, events and activities, the refund policy (if any) of the relevant Club, rather than this Policy, will apply.
3. Refund principles
· Refund requests will be assessed on a case-by-case basis.
· Approval of a refund is not automatic, except where required by law.
· RMIT may approve a full refund, partial refund, credit or transfer to another program, event or activity, depending on the circumstances.
· RMIT may take into account the timing of the refund request, the applicant’s attendance or participation to date, and any costs already incurred or committed by RMIT.
4. When RMIT may approve a refund, credit or transfer
RMIT may approve a refund, credit or transfer to another program, event or activity, where the applicant provides satisfactory evidence that one or more of the following circumstances applies:
· the applicant has a serious illness, injury or medical condition, or other exceptional personal circumstances, that materially affects their ability to participate;
· unexpected compulsory academic commitments required by RMIT materially prevent participation;
· RMIT cancels the program, event or activity; or
· RMIT is unable to substantially deliver the program, event or activity as promoted.
5. When refunds will generally not be available
Refunds will generally not be available for change of mind, failure to attend, voluntary scheduling conflicts, competing work commitments, general study commitments, or dissatisfaction that does not relate to RMIT’s failure to substantially deliver the program, event or activity.
6. Supporting evidence
Applicants must provide supporting evidence sufficient to allow RMIT to assess the request. Evidence may include a medical certificate, confirmation from an RMIT academic area regarding unexpected compulsory academic commitments, or other relevant documentation. RMIT will only request information that is reasonably necessary to assess the refund application.
7. How to apply
Refund applications must be submitted using the approved RMIT Active refund application process and must include all required supporting evidence. Applicants must submit their application to RMIT Active via this link. Applications should be submitted as soon as reasonably practicable and generally within 20 business days of the relevant event or withdrawal unless exceptional circumstances apply.
8. Assessment and outcome
Refund applications will be assessed by RMIT Active staff or another authorised RMIT delegate. RMIT will aim to notify applicants (via email or mail) of the outcome within 10 business days after receiving a complete application. Processing times may vary where further information is required. The decision of RMIT is final.
9. Privacy
Personal information submitted as part of a refund application will be collected, used and handled in accordance with RMIT’s privacy obligations and applicable privacy policies. Applicants can access RMIT’s Privacy Statement and Privacy Policy on the RMIT website.
10. Consumer law rights
Nothing in this Policy limits, excludes or modifies any rights or remedies that may be available under the Australian Consumer Law or any other applicable law.
